Terms and Conditions

These Terms and Conditions (“Terms”) govern your access to and use of AAISA Knowledge Hub (the “Platform”), operated by Alberta Association of Immigrant Serving Agencies, a non-profit incorporated under the laws of the Province of Alberta, Canada (“we,” “us,” or “our”).

By accessing or using the Platform, including interacting with our AI-powered chat agent, you agree to be bound by these Terms. If you do not agree, you must not use the Platform.


1. Purpose of the Platform

The Platform provides general informational resources related to immigration, settlement, and community services in Alberta. Information may include referrals, directories, explanations of programs, and links to third-party organizations.

The Platform:

  • Does not provide legal, immigration, financial, or professional advice

  • Does not replace licensed professionals or government authorities


2. Use of the Platform

2.1 Permitted Use

You may use the Platform to:

  • Access informational content about immigrant and settlement resources

  • Interact with the AI chat agent for general guidance and navigation

  • Browse publicly available links and references


2.2 Prohibited Use

You agree not to:

  • Use the Platform for unlawful, abusive, misleading, or harmful purposes

  • Submit false, malicious, or discriminatory information

  • Attempt to reverse-engineer, manipulate, or misuse the AI systems

  • Input highly sensitive personal information (e.g., SIN, passport numbers, banking details)

  • Disrupt or interfere with Platform security or operations

We reserve the right to restrict or terminate access for violations.


3. AI Chat Agent and Conversations

3.1 AI-Generated Responses

The Platform includes an AI-powered chat agent designed to provide general informational assistance only.

You acknowledge and agree that:

  • AI responses may be incomplete, outdated, or inaccurate

  • Outputs should be independently verified with official sources

  • The AI does not make decisions or determinations on eligibility or legal status


3.2 Conversation Logging

Conversations with the AI chat agent are logged and stored for purposes including:

Improving system accuracy and quality

  • Monitoring misuse or abuse

  • Analytics, reporting, and service optimization


3.3 Data Processing and Third-Party Systems

Chat data may be securely processed, stored, or transmitted through third-party software systems, including cloud infrastructure, analytics tools, and AI service providers.

By using the Platform, you consent to:

  • Such processing in accordance with our Privacy Policy

  • Data being stored or processed outside your province or Canada, where applicable, subject to appropriate safeguards


4. User Content

Any information you voluntarily submit through the Platform, including chat inputs (“User Content”):

  • Remains your responsibility

  • Must not include sensitive or confidential personal information

  • May be processed as described in these Terms and the Privacy Policy

You grant us a non-exclusive, royalty-free licence to use User Content solely to operate, maintain, and improve the Platform.


5. Intellectual Property

All Platform content, including text, design, software, AI systems, branding, and logos, excluding User Content, are owned by or licensed to [Organization Name] and protected under Canadian intellectual property laws.

You may not copy, reproduce, or distribute Platform materials without prior written consent.


6. User Representations and Warranties

By using the Platform, you represent and warrant that:

  • You are legally capable of entering into these Terms

  • Your use complies with applicable Canadian laws

  • You will not rely on the Platform as a substitute for professional or legal advice


7. Disclaimers


7.1 Informational Disclaimer

The Platform and AI chat agent provide information “as is” and “as available.” We make no guarantees regarding accuracy, completeness, or suitability for your specific situation.


7.2 No Professional Advice

Nothing on the Platform constitutes legal, immigration, medical, financial, or professional advice.


7.3 Third-Party Resources

We are not responsible for third-party websites, services, or organizations linked through the Platform.


8. Limitation of Liability

To the fullest extent permitted under Alberta and Canadian law:

  • We are not liable for indirect, incidental, or consequential damages

  • We are not responsible for decisions made based on Platform information

  • Our total liability shall not exceed CAD $100


Nothing limits liability where such limitation is prohibited by law.


9. Termination

We may suspend or terminate access to the Platform at any time, with or without notice, if use violates these Terms or applicable law.

You may stop using the Platform at any time.


10. Governing Law and Jurisdiction

These Terms are governed by the laws of the Province of Alberta and the federal laws of Canada applicable therein.

You agree to the exclusive jurisdiction of the courts located in Alberta, Canada.


11. Entire Agreement

These Terms, together with our Privacy Policy, constitute the entire agreement between you and us regarding use of the Platform and supersede any prior agreements or understandings.


12. Changes to These Terms

We may update these Terms periodically. Continued use of the Platform after changes are posted constitutes acceptance.
